Spreadsheets are excellent software. The problem is not the spreadsheet, it is the moment a spreadsheet quietly becomes the system your business depends on.

The short answer

You have outgrown spreadsheets when more than one person needs the same truth at the same time, when the same data is retyped into documents, and when nobody can say confidently which file is current.

The seven symptoms

  • Versions. Someone sends "final_v3_updated" and everyone hesitates.
  • Retyping. The same client details are typed again into a contract, an invoice and an itinerary.
  • Only one person understands it. The workbook has a keeper, and the business stops when they are away.
  • Reporting is a ritual. Every month someone spends a day making numbers instead of reading them.
  • Nobody knows what changed. No history, no record of who edited what.
  • Access is all or nothing. People see salary or margin data because there is no way not to show it.
  • Mistakes are expensive. A dragged cell becomes a wrong invoice.

What replaces it

Not a bigger spreadsheet, and not necessarily off-the-shelf software. A bespoke system holds records rather than cells: clients, bookings, jobs, invoices, each with its own rules and relationships. Documents generate from those records, so the data is typed once. Permissions decide who sees what. Reports read live data instead of being assembled by hand.
